What we review
Where IT, phone and copier bills hide costs.
Most offices pay several vendors, and nobody compares the bills with what the office uses now. These are the places we look first.
| Where it shows | What we check | What it can cost you |
|---|---|---|
| Licenses | Microsoft 365 and other software licenses against the people who work there now, and the plan each person needs. | Licenses for people who left, or a higher plan than anyone uses. |
| Services you can’t see | Each line on your IT bill against work you can see in reports or tickets. | A flat fee for work no one can show you. |
| Phone lines and internet | Every line and circuit against what’s still in use, including old fax and alarm lines. | Monthly charges for lines nobody uses. |
| Equipment leases | Phone system and copier leases against the equipment and the end of the term. | Payments that continue on equipment you never own. |
| Copier size | The copier and its page allowance against the page counts on your invoices. | Capacity you never use, or overage pages above the allowance. |
| Price increases | Clauses that raise the rate every year. | Increases that compound for as long as the contract runs. |
| Overlapping tools | Security, backup and software subscriptions that do the same job. | Two subscriptions for one job. |
We don’t promise savings. We show you what you pay for, what you use, and if we think you’re being oversold.
Your invoices, contracts and a count of your staff and computers are usually enough to start.
From our work
Six months of lease payments would have bought a new copier.
We’ve seen clients leasing used copiers on terms like that, and others leasing machines the wrong size for how much they print.
Before the call
What to have ready for the call.
Gather what you can. You don’t need all of it, and we can help you find the rest.
Checklist
01
Your latest bills
- The most recent invoice from your IT company, phone company, internet provider and copier company.
- Microsoft 365 or other software bills, if they come separately.
- Any charge you can’t explain. That’s often where we start.
02
Your contracts
- The signed agreement for each vendor, if you can find it.
- The start date, term length and end date, if you know them.
- Any renewal or price increase notice you have received.
- How many people work there now, and how many computers you run.
03
What you use
- Which software each group of staff uses, roughly.
- Phone lines and numbers you know are still in use.
- Equipment you know nobody uses anymore.

Free bill review
We go through your bills with you, for free.
Book a 15-minute call. We set a time to go through your bills together, on screen or in person, and tell you what we see.
Share only what we need. Before you show us a bill, black out account numbers, card numbers and passwords, and leave out anything with patient or client details. We use what you share only for the review. We don’t cancel or negotiate contracts for you; that stays between you and the vendor.
Want to know how our own billing works? See how managed IT billing works and copier and phone contracts. If your bill comes from a managed IT company, our guide to managed IT pricing explains the common pricing models.
